Rechecks typically have slower turnarounds and require more chasing that pre employment checks. They can become quite a burden to follow up if you do not get your communication right. It is essential you give employee's pre warning and ensure they are expecting contact from Zinc, otherwise you will experience lower engagement rates. We also highly recommend looping in your employees hiring manager in advance and should the check become overdue, this has proven to effective in increasing engagement rates.
We recommend the following touchpoints:
1. One week before: send a short message to the employees, warning them of the upcoming recheck.
2. One day before: send a detailed description of the things the employee will need to have to hand. For example: passport and address history for DBS checks or education certificate for professional or academic qualification checks. It's important to loop the manager in at this stage so they are aware the employee will need time to complete this task.
3. Starting checks: when you start the checks Zinc will handle all of the communication, do add a mobile number to Zinc for faster engagement. Zinc will continue to remind the applicant to submit everything required over up to 6 weeks.
4. One week post requesting checks: if the candidate's checks are showing as not started on Zinc, follow up with the applicant, looping in the hiring manager reminding them of the reasons the recheck needs to be carried out.
5. Two week post requesting checks If the status is still "not started" on Zinc, we recommend a message directly to the manager with a reminder of the responsibilities of the rechecks.
