At Zinc, we make it simple to conduct Enhanced DBS criminal checks. To make it even easier, here's a step by step guide on how to set those checks up and how to keep track on those applications.
Step One: Create A Package
You will want to navigate to the Packages page first. In the top right corner, you will see a button that says 'Create new package'.
Click the option for Templates.
To find one that is ready for Enhanced DBS checks, simply type in the search bar 'Enhanced'. Look for a template with the grey tag for Enhanced DBS checks mentioned like below.
Once you have found one you want to use, click 'Use Template' to get started.
Step Two: Add Your Job Titles
Once you have either selected your template for your for Enhanced DBS checks, you will need to add job titles for this package. Currently, you will need to set up job titles for each package you intend to use. While this process takes some time, it means that you are set up for better DBS checks in the long run. It can be changed or updated any time you want but just make sure it's done before you send out the check to someone.
You will first need to add in the job role title. You can choose from our list of pre-approved job titles, or you can add your own.
After adding the job title, you will then need to add in the eligibility which includes:
- The workforce type
- The frequency of the activity
- What the activity is
- Where the role is based
The grey description at the bottom will show you the workforce type and the barred list that will be searched for this particular role. Double check this before you confirm the job title just to ensure the check is being conducted the way you need it to be.
Here's just an example for you:
When this role is set up, click 'Save job'.
If you need to add more job roles, click 'Add Another' to set up another job role.
All done? Click 'Use Template' if you are using a template.
Step Three: Finish Package Setup
After you've added in those job titles, you will need to finish the package set up by adding the name of the package.
Then, you can edit any of the checks you don't want to conduct or add in any more if needed while seeing the pricing of each check and the total on the right hand side of the screen.
Optionally, you can add in rechecks after editing the checks. If you need annual rechecks to candidates within the package, this is the time to add this in, or you can select 'Don't remind me' if you don't need this.
Finally, you can customise the candidate note that will display at the top of the candidate's submission page so feel free to add in any instructions you need to help your candidates.
If you have any team members you would like to subscribe to this package, where an individual user will be notified about updates to this check, you can add this in after customising the note.
That's it! Now the package is all set up for you to use!
Step Four: Request Checks
Great news! Now that you've set up your package with your job titles, you're ready to send checks your candidates!
You can find steps on how to request checks here.
Once you've sent the requests, your candidates will begin completing their checks.
Step Five: Tracking and Queries
While the background checks are being processed, you can easily monitor the progress of each DBS check. Here's what you need to know:
How to track your checks:
- Look for the E0 Application reference number on the candidate's report in the criminal check section
- You'll also need the candidate's date of birth
What if I can't find the E0 Application reference number?
Don't worry! If you can't see this number on the candidate's report, it usually means the DBS is double-checking the application details. Here's what to do:
- Check your email for any messages from our Customer Success team
- If you haven't received an email, feel free to contact our Customer Success team through:
- Live chat on our website
Our team will let you know if we need any additional information to move the check forward.
Step Six: Get Those Results!
Once the check is completed, you will be notified automatically by Zinc and you can view the results on the candidate's report.
If you need to review a Consider result, contact the candidate directly as they will have further information.
