To process a DBS (Disclosure and Barring Service) check, candidates must provide original (not copied) identity documents as required by DBS regulations. These documents verify identity before a criminal record check can proceed.
What ID Documents Are Accepted?
DBS has strict guidelines on acceptable primary ID documents. The following are considered valid forms of identification:
- Passport – Any current and valid passport (UK or International)
- Driving Licence Photocard – Full or provisional (UK, Isle of Man, and Channel Islands)
- Birth Certificate – Issued within 12 months of birth (UK, Isle of Man, and Channel Islands, including those issued by UK authorities overseas, such as embassies, High Commissions, and HM Forces)
- Adoption Certificate – UK and Channel Islands

Important Name Change Requirements
- All documents must be in the applicant’s current name as recorded on the DBS application form.
- The applicant must declare all previous name changes and provide documentary proof to support each change.
- If the applicant cannot provide proof of a name change, you should have a probing discussion with them to understand the reason before proceeding with identity validation.
What If a Candidate Doesn’t Have a Valid Photo ID?
If a candidate is a British or Irish Citizen and does not have a valid photo ID, their Birth Certificate in person by you as a recruiter to remain compliant.
If a candidate informs us that they lack valid photo ID:
- Their report status will be updated to reflect this.
- You, as the recruiter, will need to verify their Birth Certificate in person.
- Once you have completed the identity verification, click the "I have verified their identity" button. This will notify the candidate to proceed with their Criminal Check.
Please note that non-citizens candidate's must provide a valid Photo ID.
