How to Integrate Zinc with HiBob
Step 1: Manage service users
In HiBob, navigate to: Settings > Integrations (under Account), then click "Manage" under the Service Users card (Robot icon).
Step 2: Create a Service User
On the Service Users configuration page, click "+ New Service User".
- Enter a Service User Name and Display Name, then click Next.
- Copy the Service User ID & Token, then switch to Zinc.
Step 3: Navigate to Employee Fields
From the HiBob homepage, go to Systems Settings > Data Management > People's data fields. A list of existing Employee Field Categories will appear.
Step 4: Create a Check Category
- Click the "+ add category" icon in the top-right corner to Add New Category.
- Name your new category "Zinc Background Checks", optionally add a description, then click "Add".
- Your new category will be added at the bottom of the Employee Field Categories list.
Step 5: Create Category Fields
In this next step you must add all relevant Zinc fields:
- Expand the Zinc Background Checks category.
- Click "+ New Field" in the top-right corner next to Category Fields.
- Enter the Field Name and Type (under the Settings ribbon).
- Click "Add" to confirm.
Create a new Peoples's folder (Docs>People's folders>Add new) called "Zinc Background Checks"
It is important you add the fields with the exact field names and types listed below otherwise the integration will not work. The type of the field is indicated in parenthesis next to the field name i.e. (text).
- Zinc Status (text)
- Zinc Date of check (date)
- Zinc Type of check (text)
- Zinc Report link (text)
- Zinc Report (document)
Only add the following fields if you are conducting RTW checks.
- Zinc RTW Document Expiry (text)
- Zinc Document Type (text)
- Zinc Nationality or Share code (text)
- Zinc RTW Status (text)
Step 6: Create a Zinc Permission Group
- In HiBob, go to Settings > Account > Permission Groups (under Company, if you are an admin).
- Click "+ Create Group" > Service User (top-left corner).
- Enter a name for the permission group.
- Under Group Members, click "Select People by Condition".
- Click the Edit icon and remove any existing conditions (🗑️ icon).
- Under Add Specific Employees > Service Users, add the Service User you created in Step 2.
- Click Apply, then Create & Confirm.
Step 7: Give Zinc the required permissions
- From the HiBob home page select Settings>Permission Groups(Under Company if you are an admin).
- Find and select the group created in Step 6.
- Click the "People’s Data" tab, then "Edit Permissions" (top-right corner).
- Click "Select People by Condition" > Edit and add these two conditions:
- Lifecycle status → Equals → Employed
- Lifecycle status → Equals → Hired
- Click Apply.
- Under the Access rights within the People’s Data tab navigate and change the following:
- People > Zinc Background Checks → Tick all
- People > Personal Contact Details → Tick "View Section" and "View Section Histories"
- Docs > Zinc Background Checks → Tick all
- People > About > Basic Info → Tick "View Selected Employees' Basic Info Sections"
- Click Save, then Apply.
Step 8: Add Your Credentials & Verify with Zinc
- In Zinc, go to Settings (bottom-left corner).
- Click the Company tab and scroll down to Integrations.
- Under HRIS Integrations, click "Setup Integration".
- Paste the Service User ID & Token from HiBob into Zinc.
- Follow the integration steps—Zinc will check if you have the correct permissions and fields enabled.
