You may need to inspect documents in person if the candidate lacks photo ID or if the document fails digital verification, such as in suspected cases. This process must occur outside of Zinc, after which you will return to the platform to confirm it has been completed. The process involves three steps:
This is a 3 step process:
-
Obtain Evidence of the claimed identity
When examining identity documents in person:
- Ask for additional documents to be provided alongside the document used on Zinc.
- Accept only valid, current, and original documentation.
- Do not accept photocopies.
- Do not accept documentation printed from the internet (e.g. internet bank statements).
- Ensure all documents are in the applicant's current name.
- Verify that identity information such as name, date of birth, and address is accurate.
- Whenever possible, seek photographic identity documents (e.g., passport, or new-style driving license).
See further guidance on inspecting documents here. - Verify the Authenticity of the Evidence
When handling physical documents:
- Review them in the presence of the document holder.
- Do not rely on faxed or scanned copies.
- Check for signs of tampering or forgery, such as peeled edges or unusual damage.
- Confirm the presence of security features (e.g., holograms, watermarks). -
Confirm the Identity Belongs to the Claimant
During in-person verification:
- Establish the applicant's true identity by examining a range of documents where possible, such as other cards to verify name or date of birth.
- Ensure the applicant provides details of all names they have used previously.
- Compare the document image to the person in front of you. If necessary, ask the applicant to remove glasses for verification. If you encounter any inconsistencies:
- Ask the applicant to explain any discrepancies in the information provided.
- Discuss any issues if the applicant cannot supply certain documents.
- Follow your organisation’s established procedures for handling suspicious documents.
By adhering to these guidelines, you can accurately verify an individual’s identity while upholding the integrity of the verification process.
